You can edit any requirement in your organization at any time. All requirement editing happens on the Requirements page, which you'll find in the left-hand navigation.
Finding a requirement to edit
Go to Requirements in the left-hand navigation.
Stay on the Active Requirements tab (the default).
Find the requirement you want to change. You can use the search bar at the top.
Click the three-dot (⋮) menu at the far right of the requirement's row and select Edit, or click the pencil icon.
What you can edit
Name: update the requirement name your members see.
Instructions: revise the instructions members see when they open the requirement. You can include clickable links in your instructions.
URL: update the link for requirements that send members to an outside site.
Expiration: choose Expires N Days After Completion, Expires on a Certain Date, or Does Not Expire. See Understanding Requirement Expiration Options.
Assignments: choose which roles in which groups the requirement is assigned to, and whether it is optional.
Click Save after making your changes.
Changing who a requirement is assigned to
Open the requirement's assignments (the reassign icon).
Check the box next to each group and role that should have the requirement. Uncheck any that should not.
To assign it to a role in every group below the one you selected, check Assign to all descending groups.
To make the requirement optional for a role, select Make optional. Optional requirements do not count against a member's compliance.
Click Save.
For step-by-step instructions on removing a requirement from a role, see How to Un-assign a Requirement.
Retiring a requirement you no longer use
If a requirement is retired, replaced, or seasonal, you can deactivate it instead of leaving it in your library.
On the Active Requirements tab, click the three-dot (⋮) menu next to the requirement.
Click Deactivate, then Confirm.
The requirement moves to the Inactive Requirements tab. Keep in mind:
Deactivating removes the requirement from every member and role across your whole account, including members who have not completed it yet.
Completed records are kept. They are hidden while the requirement is inactive, not deleted.
To bring it back, go to the Inactive Requirements tab, click the ⋮ menu, and select Activate. Reactivating does not restore assignments, so you will need to reassign it to the right roles. Anyone who still has a valid completion keeps it.
To permanently remove a requirement, deactivate it first, then select Delete from the Inactive Requirements tab. Deleting cannot be undone, so we recommend deactivating unless you are certain you will never need it again.
Good to know
Editing does not ask members to redo a requirement. Members who already completed a requirement keep their completion after you edit it. If you need everyone to complete an updated version, create a new requirement, assign it, and deactivate the old one.
Expiration reminders: Ankored emails members 30, 15, 7, and 3 days before a requirement expires.
