Profile Headshot Requirement (Admin Guide)

How the Profile Headshot requirement helps admins review potential matches from the Ankored RSO Monitor, and how to set it up.

Overview

The Profile Headshot requirement asks members to upload a clear, verified photo of their face. It is primarily used by organizations that use the Ankored RSO Monitor (Sex Offender Registry Monitor).

When the RSO Monitor flags a potential match, you need to decide whether the registry record is actually your member. Many potential matches come down to a common name or missing date of birth. With a headshot on file, you can compare your member's photo side by side with the registry record, which makes potential matches much faster and easier to review.

How It Works

  • Members upload a headshot from their dashboard, like any other requirement.

  • Ankored checks the photo as soon as it's uploaded to confirm it shows one clear, front-facing face. Logos, group photos, and photos where the face is covered or turned away are rejected, and the member is told why so they can try again.

  • Once a photo passes, the requirement is marked Completed.

  • The headshot appears in the RSO review panel next to the member's name and date of birth whenever you review a potential match.

Setting Up the Headshot Requirement

1. Ask Ankored to enable it

The Profile Headshot requirement needs to be turned on for your account before you can add it. Contact [email protected] and we'll enable it for you.

2. Add the requirement

  1. Go to Requirements Library.

  2. Click Add New Requirement.

  3. Select Profile Headshot.

  4. Enter a Requirement Name (for example, "Profile Headshot"), choose your Expiration Settings, and add any Additional Instructions you'd like members to see.

  5. Save the requirement.

3. Assign it to roles and groups

  1. In Requirements Library, click the pencil icon on the headshot requirement.

  2. Select the Roles that should receive it in each program, and mark it Required or Optional.

  3. To apply it across every role and program, select Assign to All Descending Groups.

  4. Click Save.

We recommend making the headshot Required for every role that is screened by the RSO Monitor.

Members in the selected roles receive an email letting them know a new requirement was added to their profile.

Good to Know

  • Profile photos don't count. A member's existing profile photo does not satisfy the headshot requirement, and uploading a headshot does not change their profile photo.

  • Parents complete it for children. For a child's profile, the parent or guardian account uploads the headshot.

  • Members upload their own headshot. Admins cannot upload a headshot on a member's behalf.

  • When a real photo won't pass. Some legitimate photos may not pass the face check, for example because of a religious head covering, a medical reason, or poor lighting. In that case, you can mark the requirement complete for the member. See How to Mark a Requirement as Complete.

  • No automatic photo matching. Ankored does not compare headshots to registry photos or identify anyone automatically. The headshot is a visual reference for your reviewer, who makes the decision.

  • Headshots are deleted when a member is removed. Ankored keeps the headshot only while the person is a member of your organization.

Frequently Asked Questions

Do we need the headshot requirement to use the RSO Monitor?
No, but we strongly recommend it. Without a photo, reviewers have to rely on name and date of birth alone, which makes potential matches harder to resolve.

Where do I see the headshot when reviewing a potential match?
Open the potential match from the Review Requirements page. If the member has completed the requirement, their headshot appears with their details. For the full review process, see How to Review and Action Continuous Sex Offender Search Results in Ankored.

A potential match came in for someone without a headshot. What should I do?
Ask the member to complete the Profile Headshot requirement, or mark the case Follow-up Required until you have enough information to decide.

What should I share with members about why they need a headshot?
Send them our member guide, Why do I need to upload a headshot?
