Understanding Roles, Requirements, and Groups in Ankored

Core Concepts to understand with Ankored

Updated today

Overview

Ankored is a centralized compliance data management platform that helps organizations efficiently track and manage requirements for coaches, staff, volunteers, and other personnel.

This guide explains the core concepts of roles, requirements, and Programs, and helps you understand how integration options—such as LeagueApps—fit into your compliance setup.

Core Concepts

1. Roles

Roles in Ankored define groups of individuals who share the same compliance requirements. Think of roles as job titles or functional categories within your organization.

Key Points about Roles

  • Each role is linked to a specific set of requirements (e.g., background checks, certifications, training).

  • Common examples include Coach, Assistant Coach, Staff, Volunteer, Lifeguard, and Board Member.

  • You can create custom roles unique to your organization (e.g., Team Manager, Scorekeeper).

  • Individuals can hold multiple roles if necessary.

  • Roles can be updated or reassigned at any time.

2. Requirements

Requirements are the specific tasks, certifications, or documents users must complete based on their assigned role(s). These may include compliance checks, training courses, or policy acknowledgments.

Types of Requirements

  • Background Checks

  • Abuse Prevention Training

  • SafeSport Certification

  • Concussion Training (e.g., CDC Heads Up)

  • Employee Handbooks & Acknowledgements

  • Codes of Conduct

  • Custom Waivers or Forms

  • Professional Certifications (e.g., Lifeguard, First Aid)

Requirement Properties

  • Custom expiration settings (one-time, annual, biennial, or specific dates)

  • Assignment by role and program

  • Manual upload for external non integrated requirements

  • Automated reminders until completion

3. Programs

Programs organize members by location, team, program, or department, creating a clear organization structure for management and reporting.

Common Program Structures

  • By Location: Towns or cities (e.g., 135 different towns)

  • By Team: Individual sports teams (e.g., Cowboys, Eagles)

  • By Program: Specific programs (e.g., Academy, Enrichment)

  • By Age Group: U10, U12, U14, etc.

  • By Department: Parks & Recreation, Athletics, Aquatics

This structure allows organizations to track compliance across multiple layers and ensures visibility for managers and directors.
