How to Transfer a User from One Email Profile to Another

Step-by-step instructions for moving a user's completed requirements from one email profile to another when they need to change their associated email address in Ankored.

Overview

Ankored does not natively support changing a user's email address (for example, swapping an organization email for a personal Gmail). Instead, you can manually transfer their completed requirement data from the old email profile to the new one, then remove the old profile.

This guide walks through the full process step by step.


Before You Start

You will need:

• Access to the Ankored admin dashboard

• The user's name or email address(es)

• The ability to take screenshots or record completion dates


Step 1: Look Up the User in Ankored

Search for the user by name or email in the Ankored dashboard. Identify all of their profiles and note which email address is associated with each one.

For example, a user may have multiple profiles across different programs — some tied to an organization email and others tied to a personal email.


Step 2: Screenshot the Old Profile's Completed Requirements

Open the profile tied to the email you want to retire (the old email).

Review what requirements have been completed — for example, background check, concussion training, SafeSport, etc.

Take a screenshot of all completion dates and statuses. You will need this as your reference for the next step.


Step 3: Manually Mark Requirements Complete on the New Profile

Open the profile tied to the email you want to keep (the new email).

Using the screenshot from Step 2, manually mark each applicable requirement as complete, entering the original completion dates from the old profile.

Only transfer requirements that are relevant to the new profile's program(s).


Step 4: Remove the Old Email Profile

Once the new profile is fully up to date with all transferred requirements, go back to the old email profile and remove it from all programs and teams it is assigned to.

This eliminates the duplicate profile.


Step 5: Add the New Profile to Any Remaining Programs

If the user needs to be in additional programs that were previously only tied to the old email, add the new email profile to those programs now.

At this point the user should have a single email profile with all the correct program assignments and completed requirements.

2. Screenshot completed requirements on the old email profile

3. Manually mark those requirements complete on the new email profile using the original completion dates

4. Remove the old email profile from all programs

5. Add the new email profile to any remaining programs
