Setting Programs and Members Inactive: A Guide for Admins

How to set programs and members inactive, and why it is useful for managing seasonal programs.

Ankored's Inactive feature lets you temporarily pause a program or a member without deleting anything. It is built for seasonal programs: when a season ends, you can step members and programs out of your active compliance views, then bring them right back when the next season starts.

What "Inactive" means

Inactive is a temporary, reversible pause. When a program or member is set to inactive, they drop out of your active compliance views, stop receiving compliance notifications, and cannot complete requirements until reactivated. Nothing is deleted. All historical data and completed requirements stay exactly as they were.

Why it is useful for seasonal programs

  • Your views stay accurate. Your Dashboard reflects who is actually participating this season, instead of everyone you have ever added.

  • The reminders stop. Inactive members do not receive compliance notifications, so you are not nudging people who are not playing right now.

  • Nothing is lost. Completed requirements and history are preserved, so you do not re-add or re-onboard members next season.

  • One action closes out a season. Setting a parent program inactive cascades to all of its members and to any sub-programs beneath it, so you can wrap an entire season in a single step instead of group by group.

  • Restarting is instant. Reactivating a program restores everything exactly as it was, with no reconfiguration.

How to set a program inactive

  1. Go to Programs in the left-hand navigation.

  2. Find the program or parent program for the season that is ending.

  3. Set it to Inactive from this view.

Marking a program inactive automatically cascades that status to every member in it, and to any sub-programs nested beneath it, removing them from your active compliance views without deleting any data.

Tip: use the "Show active programs only" toggle on the Dashboard to hide inactive programs from view.

How to reactivate a program

Return to Programs, find the inactive program, and set it back to Active. Everything is restored as it was, including sub-programs and each member's requirement history.

How to set a member inactive

  1. Open the program roster or the member's profile.

  2. Click the three dots on the member's profile and select Inactive. You can select multiple members at once.

What the member experiences: they can still log in, but they see a message that their profile is inactive and to contact support. They cannot complete requirements and will not receive compliance notifications. If they hold other active profiles, those still work normally.

Members with multiple roles: setting one role inactive only affects that role. If the member has another role, set that one inactive too.

How to reactivate a member

Click the three dots and select Active. You can reactivate multiple members at once. The member is notified as soon as you reactivate them, regains full access, and compliance notifications resume.

Important: integrated accounts

The Inactive feature is currently not supported with partner integrations, including Sprocket and LeagueApps. If your members sync from one of those, contact Customer Success before using Inactive to manage a season.
