Member Notifications

Learn when and how Ankored sends email notifications to members — including account activation reminders, incomplete requirement reminders, expiring soon alerts, expired requirement notices, and other event-triggered notifications.

Ankored automatically sends email notifications to keep your members informed and on track with their compliance requirements. Below is a breakdown of each notification type and when members can expect to receive them.

All notifications are sent from [email protected]. Members should add this address to their contacts or check their spam/junk folder if they aren't receiving emails. Inactive members do not receive any notifications.


Account Activation Reminders

When a member is added to Ankored — either manually by an admin or through a partner integration — they receive an email inviting them to activate their account. If the member doesn't activate right away, Ankored sends reminder emails on the following schedule:

  • Day 0 — Initial invitation (sent immediately)

  • Day 2

  • Day 4

  • Day 7

  • Day 10

That's 1 initial invitation plus 4 follow-up reminders.

Additional notes:

  • Reminders stop once the member activates their account.

  • Admins can manually resend activation emails at any time from the group membership view using the "Resend Activation Emails" button.

  • Once a member activates their account, incomplete requirement reminders begin (if applicable).


Incomplete Requirement Reminders

After account activation, if a member has outstanding requirements, Ankored sends targeted email reminders. These are also triggered when a requirement expires (there is no separate "expired" notification email — the incomplete reminder cadence restarts instead). Reminders are sent on the following schedule:

  • Day 2

  • Day 4

  • Day 6

  • Day 10

  • Day 17

  • Then every 10 days (Day 27, 37, 47, 57, 67)

That's 10 reminders total over up to 67 days.

Additional notes:

  • If a new requirement is assigned to a member, the reminder counter resets and starts over.

  • Guardians will receive a separate missing requirement email for each child they have.

  • If a member belongs to multiple organizations, they will receive a separate reminder email for each organization.


Expiring Soon Reminders

Ankored automatically updates the status of completed requirements to "Expiring Soon" once they are within 30 days of their expiration date. This gives members time to renew their certifications or re-complete requirements before they lapse.

Ankored sends email notifications at the following intervals before the expiration date:

  • 30 days before expiration

  • 15 days before expiration

  • 7 days before expiration

  • 3 days before expiration

Additional notes:

  • Members can re-complete a requirement as early as 30 days before the expiration date.

  • Each reminder email includes a link to log in and take action on the expiring requirement.


Expired Requirements

When a requirement passes its expiration date, there is no dedicated "expired" notification email. Instead, the incomplete requirement reminder cadence restarts approximately 2 days after expiration, following the same schedule listed above.

Additional notes:

  • An expired requirement changes the member's overall compliance status to "Incomplete" until the requirement is re-completed.

  • Once the member re-completes the expired requirement, their status returns to "Cleared."


Other Notifications

In addition to the reminder cadences above, Ankored sends the following one-time or event-triggered notifications:

  • New Requirement Assigned — Sent when a new requirement is added to a member's group membership.

  • Requirement Reviewed — Sent when a manually uploaded requirement is approved, reset, or disqualified.

  • Requirements Pending Review — A daily digest sent to admins/reviewers with items awaiting review.

  • Background Check Application Link — Sent when a background check is initiated for the member.

  • Background Check Complete — Sent to the member when their background check clears.

  • Flagged Background Check Alert — Sent to the account admin when a background check is flagged.

  • Group Membership Activated (missing requirements) — Sent at activation when outstanding requirements remain.

  • Group Membership Activated (no missing requirements) — Sent at activation when the member is fully cleared.

  • Welcome Email — Sent after account creation.

  • Confirm Email / Reset Password — Standard account management emails.

  • CSV Import Summary — Sent to the admin after a bulk import.

  • USSF ID Reminder — Reminder for the USSF ID requirement.


A Note on Inactive Members

Members who have been set to "Inactive" by their organization's admin do not receive any compliance notifications from Ankored. When a member is reactivated, notifications resume and they will receive an email letting them know their profile has been reactivated.
