Member Compliance Statuses
On the Members page and on program member lists, each member shows a compliance status for their overall progress. A member can belong to more than one program. If more than one status applies, Ankored shows the one higher in this list.
Invite Not Sent
The member was added to Ankored, but their invitation hasn't been sent yet. This happens when the member was added as Inactive, or added to a role with no requirements assigned.
Note: Once the member is made Active or requirements are assigned to their role, their invitation is sent automatically, and their status changes to Invite Pending.
Invite Pending
The member's invitation was sent, but they haven't accepted it and created their account yet.
Action needed: The member needs to open the invitation email and click "Activate Account."
Automatic reminders: Ankored sends reminders on Days 2, 4, 7, and 10. Reminders stop once the member activates.
Admin tip: For large groups, click Resend Activation Emails to send reminders to everyone who hasn't activated.
Not Confirmed
The member has an Ankored account but hasn't confirmed their email address yet, so requirements can't be assigned. This can happen after a sign-up page registration, or when you add someone whose existing Ankored account was never confirmed.
Action needed: The member needs to confirm their email using the email Ankored sent them. Ask them to check their spam or junk folder.
Note: If the email address had a typo or isn't valid, the member will need to sign up again with a valid email address.
Disqualified
The member has been disqualified. This can happen when:
An admin rejects a requirement and disqualifies the member, such as an adverse action on a background check
A flagged background check is automatically rejected because of your background check settings
A background check provider closed the check, and your organization has disqualification turned on for closed background checks
Note: An admin can reset the disqualification. See How to Reset a Disqualified Member to Incomplete.
Processing
Ankored is still building this member's requirements. This shows briefly right after a member is added and normally clears on its own within seconds to a few minutes. The member then moves to one of the statuses below.
Note: If a member stays on Processing for a long time, contact [email protected].
Pending
Nothing is assigned to the member yet, but requirements are scheduled for a future date, such as a minor's 18th birthday for an age-triggered requirement. It appears as a blue status with a clock icon. When the date arrives, the requirements are assigned. See Age-Triggered Requirements.
No Requirements
The member's roles and programs don't have any requirements assigned to them.
Incomplete
At least one required requirement isn't done yet. Requirements waiting in Pending Review or Under Review also count as not done.
How to view: Hover over "Incomplete" to see which requirements are missing.
Optional
The member only has optional requirements, and at least one of them isn't done.
Cleared
The member is compliant. Every required requirement is Completed or Expiring Soon. If all of their requirements are optional, every optional requirement is done.
Profile Status
Separate from compliance status, every member has a profile status.
Active
The member is an active part of the organization. They receive invitation and reminder emails and are tracked for compliance.
Inactive
The member is not currently active in the organization. Inactive members do not receive invitation or reminder emails and are not counted toward compliance tracking.
Note: Members added as Inactive will show as Invite Not Sent until they are made Active.
Requirement Status Definitions
Each requirement on a member's profile has its own status.
Incomplete
The member hasn't completed the requirement.
Optional
An optional requirement that isn't done yet. If the member completes it, the status changes to Completed.
In Progress
Applies to: Abuse Prevention Training and custom trainings
The member started the training but hasn't finished it.
Waiting on Applicant
The member started the process but hasn't finished their part. For example, they started a background check application but haven't submitted it to the provider.
Waiting on Provider
The member finished their part, and Ankored is waiting for a result from the provider. Nothing else is needed from the member. Timing depends on the provider. See your provider's admin guide: JDP, NCSI, or Yardstik.
Verification Processing
Applies to: Age verification and document validation
The member submitted their document, and Ankored is checking it.
USSF ID Required and Waiting on USSF License
Applies to: U.S. Soccer License requirements
USSF ID Required means the member still needs to provide their U.S. Soccer ID. Waiting on USSF License means they've provided it, and Ankored is waiting on their license from U.S. Soccer.
Completed
The requirement is done. Background checks show Cleared.
Expiring Soon
The requirement is done, but its expiration date is near. It still counts as done, and the member can complete it again before it expires. Members receive reminders 30, 15, 7, and 3 days before expiration.
Expired
The requirement's expiration date has passed. The member needs to complete it again.
Overdue
The requirement has a due date that has passed, and it isn't done. Most requirements don't have a due date.
Pending Review
The requirement is waiting for an admin decision. The Reason column in your Review Requirements queue tells you why:
Manual Upload: the member uploaded a file, or AI document validation couldn't approve the document automatically
Too Many Pages: the document has more pages than AI document validation can check
LiveScan Screening: a LiveScan fingerprint result needs your decision
Potential Match: a Sex Offender Search found a possible match
Consider: a Yardstik Continuous Monitoring alert found a new record
For uploaded files, review the file and choose one of the following:
Approve: accept the document
Reset: ask the member to upload again. Add a reason so they can fix it before uploading.
Disqualify: decline the document and disqualify the member
If you reset or reject a file, the member is emailed the reason and can upload a new document. See How to Approve and Reset Uploaded Requirements.
Under Review
Applies to: Integrated background checks
A background check came back flagged and needs an admin decision. In your Review Requirements queue, these show Consider in the Reason column. Review the report, then approve the member or start the adverse action process. See your provider's admin guide.
Rejected
An admin rejected the requirement. Background checks show Qualifications Not Met. Age verifications rejected because the date of birth is outside the allowed range show Outside Age Range.
Note: Qualifications Not Met only appears on the background check requirement. On the Members page, a member whose background check was rejected shows Disqualified.
Closed
Applies to: Integrated background checks
The provider closed a background check without a result. This only shows when your organization has disqualification turned on for closed background checks, in which case the member becomes Disqualified. When that setting is off, the background check goes back to Incomplete so the member can run a new one.
