If your organization uses LeagueApps for registration, the LeagueApps integration connects it to Ankored. LeagueApps handles registration, and Ankored handles safety and compliance. Members who register in LeagueApps are added to Ankored automatically, and their compliance and age verification statuses sync back to LeagueApps.
This guide explains how the integration works, what your organization needs to do, how members get added, and where to see results.
A joint setup between Ankored and LeagueApps
Setting up the integration is a collaboration between the Ankored implementation team and the LeagueApps support team. During implementation, we work with LeagueApps to connect your accounts, confirm which programs and teams should sync, and confirm which members should come into Ankored. If you are ever unsure why a program, team, or member is or is not showing in Ankored, the cause is usually one of the setup choices below.
What your organization needs to do
Your Ankored implementation specialist will walk you through each of these during setup:
Share your LeagueApps Site ID with your implementation specialist.
Tag your programs and teams in LeagueApps with the Ankored integration code. In LeagueApps, open the program's settings, scroll to the Integration Code section, and select the Ankored option from the dropdown. There are two Ankored codes, Compliance and Age Verification. You can select one or both, depending on what the program needs. Only tagged programs and teams sync into Ankored. Anything that is not tagged will not appear in Ankored. The program can be any LeagueApps program type.
Make sure your roles match. Roles are not part of the automated sync. The roles in LeagueApps need to match the roles set up in Ankored so each member is assigned the right requirements. In LeagueApps, you can view and edit staff roles under Settings > Staff Roles.
Decide who should sync. Your implementation specialist will confirm which members should come into Ankored, such as staff and coaches, players, or both.
How setup works
Setup happens in a specific order so that members are assigned the right requirements as soon as they arrive in Ankored:
Roles and requirements are created in Ankored first. This happens before any members sync in.
Your program structure syncs. Your tagged LeagueApps programs and teams are created in Ankored. Your implementation specialist will confirm the structure looks right before moving on.
Your members sync. Members registered in your tagged programs are created in Ankored, and their invitation emails go out.
Important: please do not start syncing members into Ankored before your roles and requirements are finalized with your implementation specialist. Members who sync in are sent an invitation to Ankored right away. If their requirements are not set up yet, they will log in to a profile with no requirements assigned.
How members are added through LeagueApps
Members need to register for a tagged program in LeagueApps before they can be added to Ankored. You can get them registered in two ways:
Private registration link: copy the link to your tagged program and send it to the members you want to register. If those members already exist in LeagueApps, you can use the Message tab in LeagueApps to filter by program and role and send the link only to the people who need to complete compliance or age verification.
Public registration link: set the program to Public in LeagueApps and post the link on your website like any other program. Keep in mind that anyone who registers through a public link will receive an Ankored invitation based on their role.
LeagueApps attaches its standard waiver to the program automatically. You can also attach your own waiver if you want members to sign one during registration.
Once a member registers:
Ankored syncs with LeagueApps every 30 minutes. Within about 30 minutes of registering, the member is created in Ankored and receives an email inviting them to complete their requirements.
Members log in to Ankored with their LeagueApps credentials. See How to Login to Ankored (LeagueApps Users).
Ankored uses email address to identify each member. If someone registers more than once with the same email, they share one Ankored profile.
What emails members receive
From LeagueApps: a registration confirmation when the member registers. This comes from LeagueApps, not Ankored.
From Ankored: a separate invitation to Ankored once the member has synced in, asking them to complete their requirements. Ankored also sends automated reminders for incomplete requirements.
For all the emails Ankored sends to members, see Member Email Notifications.
What syncs back to LeagueApps
Members' statuses from Ankored sync back into LeagueApps, so you can see who is ready to be rostered without leaving LeagueApps.
Where to find the reports: in the LeagueApps management console, go to Reporting and select Compliance or Age Verification under Integration Programs. The Org Account Owner, Org Account Admin, and Site Admin roles can access these reports. A member appears in a report once they have completed a LeagueApps registration for a tagged program.
Compliance report statuses:
Cleared: the member has completed all of their requirements.
Incomplete: the member has not completed at least one requirement.
Optional: the member only has optional requirements.
NoRequirements: the member has no requirements assigned.
NotActivated: the member was invited to Ankored but has not set up their profile yet.
NotConfirmed: the member signed up for Ankored but has not confirmed their email address.
Disqualified: the member was disqualified because a requirement was rejected.
Age verification report statuses:
Cleared: the member's date of birth has been verified.
Pending: the member has submitted their age verification, and it is still processing.
Incomplete: the member has not submitted their age verification.
Rejected: the member's date of birth could not be verified with the document provided.
Working with the reports:
Progress bar: shows how members are moving through their requirements. Click any segment to filter the report to that status.
Filters: filter by Last Updated (the default is the last 3 months), Status, and sort order, then click Apply Filters. Click Reset Filters to start over.
Bulk messaging: select members using the checkboxes, then use the Bulk Action dropdown to send a message. For example, you can filter to Incomplete and send a reminder, or filter to Cleared and let members know team assignments are coming.
Export: you can export any report to CSV. For more detailed reporting, export directly from Ankored.
You can also view compliance status alongside registration and program data in LeagueApps Analytics. See LeagueApps' guide.
Keeping LeagueApps and Ankored in sync
New programs and teams: new programs and teams sync into Ankored automatically as long as they are tagged with the Ankored integration code. To stop syncing a program, remove the Ankored code from its Integration Code field in LeagueApps.
New LeagueApps sites: each new site needs to be enabled by LeagueApps before it can connect to Ankored. Contact [email protected] if you add a new site.
Member details: LeagueApps is the system of record for a member's name, email, and date of birth. Make those changes in LeagueApps, and they will sync to Ankored within 30 minutes.
Removing members: members removed in LeagueApps are not automatically removed from Ankored. Remove them or set them as inactive in Ankored as well. See How to Remove a Member and How to Set Users as Inactive in Ankored.
Roles: if you add or change a role in LeagueApps, make the same change in Ankored so the roles continue to match. When you add a new role, also go to your Requirement Library in Ankored and assign the requirements that role needs. Otherwise, members who register under that role will come into Ankored with no requirements assigned.
Members added directly in Ankored: members you add in Ankored through Quick Add, Bulk Import, or a sign-up page are not connected to LeagueApps.
Troubleshooting
A program or team is missing in Ankored: check that it is tagged with the Ankored integration code in LeagueApps.
A member is missing in Ankored: confirm they registered in a tagged program or team, and allow up to 30 minutes for the sync.
A member is missing from the LeagueApps compliance report: confirm they completed registration for a tagged program, and check that the Last Updated filter covers the date they registered.
A member shows NotActivated or NotConfirmed: they have not finished setting up their Ankored profile. Have them check for their Ankored invitation email and log in with their LeagueApps credentials.
A member has no requirements assigned: check that their role exists in Ankored and that requirements are assigned to it in your Requirement Library.
A member's name, email, or date of birth is wrong: update it in LeagueApps, not in Ankored.
